Ampersand Travel has been arranging the very best tailor-made cultural tours to Asia for the last 15 years. We are recognised worldwide for our unique approach to each and every client. The goodwill and longstanding relationships we have created and nurtured means our clients experience the country in a way that most never will. We are a team of 12 and all love what we do and take enormous pride in our work. We are fun and hardworking – there is never a dull moment! We are based in light and airy river facing offices that are a 3-minute walk from Vauxhall station.

You will enjoy a lot of variety in your role and will need to be flexible and demonstrate strong initiative within a fast-paced office. You should have good IT skills, be well organised and have a can-do approach to work. You must be kind, patient and helpful. Attention to detail is essential; one small mistake or overlooked detail could spoil a holiday. Our clients come from all over the world and expect the planning of their holidays to be as enjoyable, efficient and perfect as the holidays themselves.

We currently have a full-time role to fill:

Position: Team Support & Office Administration
Start Date: Immediately

Salary
: Based on experience + Travel Allowance + Pension + Company Bonus

Duties:
- Be the voice of Ampersand when clients and suppliers first contact us
- Answer the main office number, take messages and transfer calls
- Monitor web and phone enquiries
- Assist sales team by checking and preparing client itineraries
- Upload and format client itineraries on our mobile app
- Assist the sales team by booking & issuing flights prior to expiry
- Assist client with Visas
- Update the weekly sales board (clients travelling, departing & returning)
- Prepare Questionnaires and Welcome Home letters for clients
- Update website and CRM itinerary database
- Liaise with external IT Support & printer technicians
- Team Diary Management
- Assist Managing Director and fellow team members when needed
- Banking and post management
- Draft letters when needed
- Ensure that the office is well organised and tidy
- General office filing, scanning, printing, organising
- Keep an updated inventory of items in the office
- Manage office supplies and order when necessary

Requirements:
- Strong team spirit
- Caring and patient personality
- Fluent English both written and spoken
- Strong phone skills
- Excellent time management and prioritising skills
- Outstanding efficiency and organisational skills
- Attention to detail and a proactive approach to work
- Proven ability to take initiative and manage numerous tasks simultaneously
- Comfortable working as part of a small company in a fast-paced environment
- Strong working knowledge of Microsoft Office applications including Excel, Word and Outlook
